A1 Performance Setup
In order to get the Performance Module set up, you need to do the following:
- Import your users. You can learn how to do this in our article on Adding Staff.
- Start your Free Trial. You can do this from the billing page. Be sure to subscribe to Roslin Performance.
A2 Create Templates
Review Templates are what is sent to Reviewers to capture their feedback on Reviewees during Reviews. You can learn how to create templates here.
A3 Set Up Organogram
In order to function well, Roslin needs to know who reports to whom. This will speed up work later when selecting Reviewers.
You can learn how to set up the Organogram here.
A4 Create and Start Review Round
A Review Round is simply a batch of Reviews with similar settings. You may run them as often as you like and in parallel. We suspect that your annual or semi-annual Performance Appraisal process will become a single Review Round.
You can go through the setup process for a Review Round here.
M1 Moderators Run Reviews
Once the Review Round has been started, all selected moderators will receive the following email notification:
The process is now handed from the Admin to the Moderators. The Admin can still perform any action a moderator can but this is not scalable in larger organisations. In this case, it makes more sense for moderators to perform the remaining steps.
M2 Select Reviewers and Templates
The dates for the Review will already have been set by the Admin so the first action for Moderators will be selecting the Reviewers for each respective Review. Each Review will be run through a process as shown below:
The moderator can select Reviewers and the template to use in any combination. The above Approval Needed section is just a list of suggestions based on the organogram as set up by the Admins.
M3 Start Review and notify Reviewers
The moderator can now start the Review and thereby, notify the reviewers that their participation is required.
R1 Receive Feedback Request
The reviewers will receive the following email:
R2 Complete Feedback Request
Now the reviewers can complete their Feedback Requests.
M4 Moderator makes final comments
Once all the reviewers are done, the moderator will be notified with the following email:
The moderator will have the option of making some final comments on the Review after seeing all feedback that has come in.
The moderator then submits this draft.
R3 Reviewee Sign Off (Optional)
If Sign Off was enabled at A4 Create and Start Review Round above, the reviewee will have a chance to see the Moderator's Review and then Sign Off. This step is to ensure that agreement has been reached between the Moderator and Reviewee on the fairness and accuracy of the Review.
Notification emails for this step are coming soon.
M5 Moderator closes Review
Once the Draft is submitted and Sign Off has been completed by the reviewee (if enabled), the moderator finally closes the Review.
A6 Admin closes Review Round
At any time although ideally once all the moderators have closed their Reviews, the admin can close the entire Review Round. This will automatically close all remaining Reviews and cancel all Feedback Requests that have not been completed yet.
To do so, go to Review Rounds >> Manage >> Progress Tab >> Close Round. It will warn you if there are Reviews still open.
